The first meeting of San Angelo Project Graduation 2008 was held at SAISD Administration Building on October 22nd at 6:30.  Co-Chairs Yvonne Biedermann and Sally Reid presented basic goals and needs of parental involvement for success.  Date for Project Graduation is May 31st, 2008.  Sunset Mall has donated location.

Alcohol & Drug Abuse Council for the Concho Valley was represented by Executive Director Eric Sanchez.  ADACCV will be sponsoring the event and all donations will be channeled through their organization.  He advised that a generous donation has already been received by Texas Department of Transportation in support of this event.

Committee chairpersons were encouraged to get goals and directives solidified.  Outreach to all parents and community is encouraged.  Specifically noted was need for involvement of  Junior, Sophomore and Freshman student’s parents so that Project Graduation can be carried forth every year.

The theme for SAPG 2008 is Luau!  Terry Garces offered luau decorations and use of casino equipment.

Activities, prizes, food, qualification requirements, security, clean up and publicity will all be finalized by the varying committees and ideas are welcome.  Volunteers are encouraged to contact Committee chairs listed on the website.

Monthly meetings will be held at the SAISD Conference Room, 1621 University with next meeting being November 12th.

Monday November 12, 2007
Monthly meeting for San Angelo Project Graduation was held November 12th at the SAISD Administration Building.  Yvonne Biedermann announced that all committees now have chairperson(s) and read the names.

Co-Chair Sally Reid advised bake sales have been set for December 9th and 16th at Sherwood Way Walmart and February 9th at North Bryant Walmart.   Goal is $1000 at each store to obtain Walmart's maximum match of $1000.  Hat Day is scheduled for November 30th at Lake View High School, with similar fund raiser to be scheduled at Central High School.  Suggestion boxes will be put out at each school for students' input for activity ideas.

Budget report at this time is $1725 in cash donations.  Letters have been sent to 100 local churches requesting support.  Volunteers were encouraged to begin requesting donations for money, food, prizes.   Contact Sally Reid prior to contact so that multiple requests won't be made to same business/organization.  ADACCV letter is available to provide for authenticity of event.  Tentative goal for donations is $25,000.

Progress reports were given by individual committees.  Tentative budget of $2,000 was given to Activities Committee so they can begin reserving games, entertainment, etc.  Theme for event is still pending.

Next meeting set for December 10th at SAISD Administration Building.

Monday December 10, 2007

Monthly meeting for San Angelo Project Graduation was held December 10th at the SAISD Administration Building.  Reports from various committees were given as follows:

Finance committee advised donations/pledges to date are $9351.  Hat Day at Lake View raised $150, event still pending at Central.  12/9/2007 bake sale raised $600.  King of the Court event has been set for March 8, 2008. 

52 Dinners and Support Card projects to begin after first of year.  Funds leftover from last Project Graduation are being researched for access.  List of prior contributors was obtained from Debbie Cross.

Debbie Cross gave report on the 2001-2003 San Angelo Project Graduation. Hypnotist and inflatables were popular.  Event was held at Concho Pavillon in 2003.  No seed money was available to start up SAPG in 2001

Verification committee is considering possibility of allowing seniors to bring guests based on comment from prior chair Debbie Cross that it would increase senior participation.  Guests would be subject to clearance or verification in some manner…possibly a letter from their own principal.  Must be a sophomore or junior and enter with their senior sponsor.  They would also pay a higher ticket fee and not be eligible for any prizes.  10pm -12pm was agreed on for check in time period on May 31,2008 for seniors and their guests.  

No admittance after midnight and if student leaves, no re-entry. 

Senior must be present when names are drawn for prizes in order to win prize.  Drawing for prizes will begin at 4:30-5:00 am.

VIPS check to be done on volunteers if possible.                                    Committee is meeting separately to nail down guidelines.

Publicity committee ran ad in Standard Times previous weekend to raise community awareness.  Lamar Advertising has donated a billboard for our use.  Appearances in various venues are being scheduled to promote event.

Activities committee will contact Chamber of Commerce for possible use of their casino night equipment.  Right Choices for Youth will donate games.  Sgt Luke Brake from Army National Guard was present to announce they will provide 30' rock wall and vehicle with various entertainment, and man the units for safety as well.  Release form to be signed by students releases SAPG from liability.  Vote was taken to increase activities budget at this time to $4,000 so hypnotist and inflatable games from Angelo Rink can be reserved.   Sally Reid has researched possibility of automobile as grand prize and All American Chevrolet has offered reduced price on new vehicle for $10,000 + TTL.

Security committee was advised by Sgt Brake that he would ask for uniformed volunteers from Army Natl Guard for security.  Julie Alonso from ADACCV advised her husband can also get volunteers from base.  Debbie Cross advised that REACT worked security in prior years and would possibly help again.  Eric Sanchez is to discuss uniformed police volunteers with Chief Tim Vazquez.  One entrance to Mall will be decided on, and exits to be clarified with Fire Marshall.

Cleanup committee to check with Mall to see if storage space is available to clear stuff away until picked up. Also, need area to store items before set up.

Minutes Jan. 15, 2008

Minutes read by Yvonne Biedermann and approved.  Reports from various committees as follows:

Chaperone Committee - Letters going out soliciting volunteers.  Will create Code of Conduct for volunteers to sign off on.  VIP check not possible.

Finance Committee advised new Goal $30,000.  Needs volunteers to chair next bake sale (Feb 9th). Chairs to solicit 5 others for $20 worth of baked goods.  $4985.10 cash in hand at this time.  King of the Court is scheduled for March 9th.  Hat Day at Central scheduled for March 14th.  Vote was taken and passed to accept offer from All American Chevrolet for new car at reduced cost of $10,000 + TTL as grand prize.  No results yet from letters sent to Churches throughout  San Angelo.

Activities committee - Hypnotist has been hired at fee of $700 + cost of hotel room.  4 inflatable games are reserved at $1775 total.  Committee will assign separate chair for Casino event since it's requires most volunteers and equipment.

Verification committee - $10 per senior for ticket.  Guest ticket is $15.  Must be at least 16, registered in high school and have letter from their own school.  April 15th is deadline for guest registration so there'll be time to verify.  Senior verification letter has been prepared and was approved at meeting.  Will go out in 2/15 report card so students may begin registering thru mail.  April 10th & 11th designated for sign up on campus.  Need volunteers.   This is intended for straglers as most sign up should be done thru mail.   Secretary at Lake View has volunteered to take sign ups/money on their campus.

Security and Cleanup committee  - San Angelo Police Dept has agreed to donate uniformed officers.
Will approach West Central Cellular regarding donation of phones to use amongst chaperones.

Food committee will be going into full swing with requests for donations of food and equipment to make/serve food.   Chick-Fil-A has offered to provide food until midnight

Sample of Project Graduation T-Shirts will be available at next meeting.
Monday  February 11  from  6:00-7:30 pm.

All are encouraged to bring a Sophomore or Junior parent to next meeting.
Goal is to continue SAPG year after year.

Monthly meeting for San Angelo Project Graduation was held February 11th at SAISD Administration Building.
January minutes read and corrected.
Reports from various committees as follows:
Finance:  Cash on hand $8358.70.  $200 deposit allocated to hynotist leaving $8158.70.  Lake View cell phone fund donation pending.  Central has indicated $1000.   Bake sales at Sam's are set for March 8th and 22nd.  Tex-Ann's possibly handling the March 8th as service project.  $2500 community grant from Walmart on Bryant in the works.  52 Meal Deal going well.  Almost have the 52 meals contributed. Handed out raffle tickets to sell to volunteers in meeting.  King of the Court still on for March 9th.  Fliers going out at schools. Deadline to register February 29th.  Hat Day at Central March 14th.
Activities - Jeremiah Houston Band has volunteered to perform for no charge.  2 DJ's have donated time.  Big screen TV discussed to play sports and school activity bloopers.
Qualifications:  Announcement letter in February report cards as well as fliers, school papers and posters promoting purchase of tickets and requirements for guests.
Food:  committee has divided local restaurants up to be solicited for donations of food.  Shannon Hospital has offered sandwiches and cookies.
Volunteers:  Expectations letter to possible volunteers to go out in early March.  Project 185 volunteers needed per Activities committee in 2 hr shifts.
Publicity:  Radio stations doing PSA's.  Standard Times donating advertising.  SAISD Web page link to SAPG's website.
Prizes:  T-Shirt design still pending.  Committee persons are soliciting prizes from various sources in town.
